Entitlement and instalment notices

Operations Grant Entitlement notices detail a board’s operational funding entitlements broken down by components.

When are entitlement notices sent out?

A provisional Operational Funding Entitlement Notice is issued in mid-September for the coming year.

Revised Operational Funding Entitlement Notices are issued if any of the components change, for example when funding is recalculated using the school’s actual 1 March roll.

What is an entitlement notice?

Schools with year 1-8 students
Pages one and two of a revised Operations Grant Entitlement notice do not change once the board receives its first notice. All recalculations for the year appear from page three onward.

Schools with year 9-13 students
An Operations Grant Entitlement notice is provided for each quarter. This shows the funding entitlement for the quarter being paid and any adjustments for changes in previous quarters.

What is an instalment notice?

An Operations Grant Instalment notice shows the amount of the instalment, and includes any recalculations, adjustments and other payments added to the entitlement.

When are instalment notices sent out?

An Instalment notice is issued for each instalment (see the section: When is operational funding paid? for the timetable).

Remittance advices

The Ministry of Education issues a remittance advice each time an operational funding payment is made outside of the quarterly instalments (as no instalment notice is issued for these payments).

Filing entitlement and instalment notices

All operational funding entitlement and instalment notices, as well as remittance advice notices, must be retained by boards for audit purposes.
