FAQs for Principals
Will ENROL require a lot of my staff's time?
Staff who use ENROL will find that, as they become more familiar with ENROL, it will save considerable time that was previously spent filling in the enrolment forms manually and forwarding them between schools. ENROL also monitors the 20 day period from when a child leaves your school.
ENROL was developed with your needs in mind to save time while preserving the accuracy of your data. Your school has the ability to do batch enrolments and withdrawals, to minimise the time commitment at the beginning and end of each year.
With all schools following a consistent and accurate process for the enrolment and transition of students, your school will benefit from: reduced paperwork; less monitoring effort required when students enrol or move from one school to another, and prompt and accurate identification of non-enrolled students.
Does ENROL link to my SMS?
Currently most Student Management Systems are able to connect to ENROL to enrol or withdraw students and to get/check students’ NSN.
Who can access ENROL?
The school principal and school staff involved with enrolment processes who will update student records when students enrol in a school, transfer schools or leave the school system.
Ministry of Education staff will update student records in specific circumstances, such as when granting approval for home schooling and District Health Board staff will have restricted access to update student records with the vision and hearing test results undertaken by clinicians. All users will complete a user authorisation form.
Can parents or students access ENROL?
Parents or students will not have direct access to ENROL. They do have the right to request copies, or correction, of information held in the system from the current school of enrolment or the Ministry of Education.
How do I access ENROL?
All school users who wish to access the system will need to complete a new user form (PDF, 41kb) which is signed by their principal, and complete the ENROL training course to obtain a login and password to use ENROL. Access to ENROL is via the e-Admin area on the Educational Leaders website.
Why do I have to be authorised and authenticated?
ENROL is a repository of sensitive information for school students. As such, precautions have had to be introduced to ensure that the information held in ENROL is used only by school staff who are authorised to do so.
What equipment do I need to use ENROL?
You may use any PC or Apple Macintosh computer to access ENROL via a dial-up or broadband connection.
Apple Mac users should connect to ENROL using Apple's Safari or Firefox browsers, as Microsoft is not continuing development of Internet Explorer for the Mac. All teacher and principal laptops and most Apple desktops running Mac OS 10 will have Safari and/or Firefox installed.
If you need any assistance with this please contact the ICT Helpdesk for Schools on 0800 22 55 42.
What are Teaching and Learning Notes?
Teaching and Learning Notes can relate to academic, behavioural, personal, attendance, health or custodial issues. They offer principals a valuable tool for helping at-risk students. By updating information when a student leaves or by responding to the Notes that are on a student’s enrolment record, you will be contributing to their welfare and educational outcome.
The ‘last school’ attended can advise the ‘next school’, of issues that may potentially impact on a student’s placement and pastoral care. Please be aware that ENROL records the existence of 'Teaching and Learning Notes', it does not record the notes themselves, which remain on paper and can be requested from the previous school.
What happens if a student is not enrolled within 20 days?
An important feature of ENROL is that it automatically identifies students who have not enrolled in another school within 20 days of leaving your school. ENROL’s automatic monitoring will send you an email prompt to complete the non-enrolment notification (NEN) form within the system, and then email it to the Ministry. This initiates the usual tracing process for non-enrolled students with NETS.
How do I get training in ENROL?
Please contact Training Services at training.services@minedu.govt.nz and you will be provided with details of available sessions. All staff in your school who are responsible for the enrolment processes and who will need to access ENROL, must receive training before access to ENROL is granted.
A comprehensive User Guide will be sent to all users prior to the training and offers a wealth of information on how to use ENROL. This user guide and others may be found on the User Manuals webpage.
Who should I contact for help with using ENROL?
