Pending enrolments
What is a pending enrolment?
If you enrol a student who has not been withdrawn from their previous school, the enrolment is created as a 'pending enrolment'. When the previous school withdraws the student they will be automatically fully enrolled at your school.
A pending enrolment will remain until either the previous school withdraws the student or the new school cancels the enrolment.
When searching for a student with a pending enrolment, you will need to use the 'Not at My School' search option.
Pre-enrolments and pending enrolments
Do not confuse pending enrolments with pre-enrolments. A pre-enrolment is prepared in your Student Management System for students that you are expecting at your school. You can not do this in ENROL, students must be enrolled only once they start physically attending your school.
How can I see pending enrolments for my school?
To find any pending enrolments for your school, run a 'Pending enrolments' report. This will show:
- your students that another school has tried to enrol (pending at the other school)
- students currently enrolled at another school that you have tried to enrol (pending at your school)
To run this report select the 'Reports' tab and click on 'Pending enrolments' (the fifth report in the list)
Can I see if another school has created a pending enrolment for one of our students?
When another school creates a pending enrolment for one of your students, ENROL generates a task for you to withdraw the student. You can see this in the 'Tasks' list in ENROL, and you will also be notified by email.
Note: You can also run the 'Pending enrolments' report to see the students currently enrolled at your school for which other schools have created pending enrolments.
Can I cancel a pending enrolment?
You can cancel a pending enrolment created by your school:
- Enter the student’s name and date of birth in the Find a Student tab
- Set the School option to “Not at my school” and click the button “Find a Student”
- All students matching your criteria will be displayed. Click on the student’s name or National Student Number (NSN) to access the Student Details screen
- Click the button Enrol at the top right corner of the screen
- Click the button Remove Enrolment
Please note that the school where the student is currently enrolled is unable to cancel or remove a pending enrolment created by another school.
What if another school creates a pending enrolment for a student who is not leaving my school?
If another school incorrectly creates a pending enrolment for one of your students, do not simply ignore the request to withdraw!
Call the other school and ask them to cancel the pending enrolment.
If you cannot reach an agreement with the other school regarding where the student should be enrolled, please call the ministry (phone 04 463 8383).
What if another school is claiming a student who left my school but came back two days later?
Withdraw and re-enrol the student with the correct Last Day of Attendance and correct First Day of Attendance. The other school will then receive a task and email requesting that they withdraw the student.
What if a student’s previous school won’t withdraw them?
First check that you have created a pending enrolment for the right student because two students might have similar names.
- If you have the wrong student, cancel the pending enrolment and enrol the right student to your school.
- If you have the right student, call the previous school and ask them to withdraw the student.

I created a pending enrolment, but the student is not included in the 'Detailed information of students currently enrolled at my school' report; why is this?
This report does not include students with pending enrolment status. These particular students are included in the 'Detailed student information of Student Count' report.
Please note that this report also excludes your students with a pending enrolment at another school.
I created a pending enrolment for a student who has since left my school; why can’t I withdraw them?
You cannot withdraw a student with pending enrolment status, as it means the student is still enrolled at their old school. Call your student’s previous school and ask them to withdraw the student. Once they have done this the student will be fully enrolled at your school and you will be able to withdraw the student.
If the student is still attending their previous school and has never actually attended your school you should cancel the pending enrolment.
Where are students with a pending enrolment counted on Roll Count Day?
Any student with a pending enrolment will be counted at the school that created the pending enrolment, not at the school where they are currently enrolled.
The 'Detailed Student Information of Student Count' report shows which students will be counted for your school.
