If a student has more than one name: which one should be in ENROL?

Please use the 'Legal Name' as it appears on the student’s identification document even if it is not the student’s preferred name.   This is the name used in our databases and appears on the student’s NCEA certificate. Using another name can cause confusion or problems later on.

  • If the student is known by another name this may be entered into the Alias field.
  • If the student has one or more middle names please include these in the First Names field.

What is the 'Legal Name'?

The "Legal Name" is the name that you see on the student’s identification document (birth certificate or similar) presented by the parent/guardian.

Why do I need to enter the “Legal Name” into the Name fields?

The name you enter into the Name fields is the name that will be used for the student in our databases. This name will also be printed on the student’s NCEA certificate.

It is important that the name on the NCEA certificate is the student’s “Legal Name” and not another preferred name, as official instances (eg overseas) might reject the certificate if it shows a name even slightly different from what is on the student’s documents.

What should I enter into the Alias field?

You can enter any other names a student is known by in the Alias field.

What characters can I use in names in ENROL?

You can use:

  • Alphabetic characters: a-z, A-Z, with or without accent
  • Spaces
  • Hyphens
  • Apostrophes
  • Tilde

For example:

  • Hee-jin
  • Inés Alexandra Luisa
  • Fa’a

A name must start with a letter.

How do I enter middle names into ENROL?

The middle names shall be entered into the First Name field in ENROL. Please separate the names with a space (do not use a comma).

What should I enter if a student has only one name?

Enter the student’s name in the Surname field and a tilde (~) into the First Name(s) field.

This student has a one-letter name. What do I enter it into the Name field?

Enter the 'legal name' as it is (i.e. the one letter).

When searching for a student with a one-letter name, use the letter followed by a full-stop (eg A.)

What do I do if the student’s verification documents are not available?

Student You need
Domestic student transferring between schools in NZ No update need to the documents in ENROL
International Student Verification documents needed to establish that the visa is still current
New student enrolling in NZ education system for the first time Verification documents needed. If you can't get verification documents, contact e-admin contact centre.

I tried to update a student’s name but when I save the changes I get an "error 702" message - what does this mean?

This means that the student’s details have been confirmed in our database. You will not be able to change the following:

  • Name
  • Date of birth
  • Citizenship
  • Eligibility criteria
  • Verification document

In case the student’s name or date of birth are incorrect (ie, do not match the student’s identity document) please contact the e-admin Contact Centre.

For many domestic students in ENROL, the 'Eligibility Criteria' =”Unknown” and the 'Verification Document' and the 'Citizenship' information are missing. This is ok and does not need to be updated.

When I hover over the student’s details in the 'Edit Student Details' screen I get this message: "This information has been verified as correct and cannot be updated" - what does this mean?

It means that the student’s details have been confirmed as correct in our database.
You will not be able to change the following:

  • Name
  • Date of birth
  • Citizenship
  • Eligibility criteria
  • Verification document
