Frequently asked questions about batch withdrawals in ENROL.

What is a batch withdrawal?

A batch withdrawal is the withdrawal of a whole group of students at once. All students selected must have the same Leaving Year Level, Last Day of Attendance and Leaving Reason.
Batch withdrawals are useful at the end of the school year, or when a school closes.

How do I perform a batch withdrawal?

To perform a batch withdrawal:

  1. Click on the tab "Batch Processing" at the top of the ENROL screen
  2. Select the Current Year Level of the cohort you want to withdraw
  3. Click the button Find Students to access the nextscreen
  4. the list of students with the selected CYL will be displayed; confirm the students you want to withdraw
  5. Mark the students that have Teaching and Learning Notes
  6. Select the correct Last Day of Attendance
  7. Select the Leaving Year Level
  8. Select the Intended Region and Leaving Reason
  9. Click Enter

When can I perform a batch withdrawal?

Batch withdrawals can be performed up to one month prior to the Last Day of Attendance date.
It is the only time when a future date can be entered into the Last Day of Attendance field.

How do I select students for a batch withdrawal?

In the Batch Processing screen, select the Current Year Level of the students you want to withdraw.
After you click the button Find Students you will be presented with the list of students with the selected Current Year Level at your school.
Confirm the group of students you want to withdraw. All students selected must have the same Leaving Year Level, Last Day of Attendance and Leaving Reason.

How can I check that my future-date batch withdrawal was successful?

All students that you just withdrew will not appear in the list when you run another batch withdrawal.
You can also run the report "Leavers and where they have gone" and set the "Date From" to the day you did the batch withdrawal and the "Date To" to the last day at your school eg, 16/12/2011.
This report will display all students withdrawn from your school with their Last Day of Attendance, Leave Reason, Post-School Activity and Intended Region.

In the middle of doing my batch withdrawal, ENROL timed out. Was the batch withdrawal completed or should I repeat the process?

If it appears that a time-out problem has occurred when processing Batch Withdrawals you should wait for a few minutes, then check the report "List of Leavers and where they have gone" to see if the withdrawals were completed. If the students are not listed in this report, please repeat the Batch Withdrawal.
