Frequently asked questions on hearing and vision tests for District Health Board users of ENROL.
What does 'Not Recorded' mean in a retrieved test batch?
When you retrieve a test batch ALL students initially default to the ‘Not Recorded’ radio button. This means that the students have not had test results recorded against them in this specific batch (but they may have had previous test results entered at an earlier time).
What happens if I don’t make any pass or fail selections?
If you leave all students as ‘Not Recorded’ and select ‘Next’ the system proceeds to the confirmation screen, which says - "You have passed 0 students. You have failed 0 students" - and then to the Students Failed Test screen, which displays no students (because none have failed).

Can I leave some students as “Not Recorded”?
Yes. If you leave some students as ‘Not Recorded’ you can go back into the system at any time and select more students to Pass or Fail by retrieving the batch again and repeating the process.
It is good business practice to ensure that at the end of the updating results process no students are left as Not Recorded, but the system does not verify this. There may be occasions when a result cannot be recorded so ENROL accepts these records.

What happens if I select Pass All?
A button labelled ‘Pass All’ exists. This will only pass those students that have not yet been saved as a ‘Fail’ (i.e. those that are still set to ‘Not Recorded’). However, if a student has been selected as ‘Fail’ using the radio button, but this has not been saved using the ‘Save’ button, they will be changed to ‘Pass’ by this action. The ‘Fail’ students must be saved before using the ‘Pass All’ button.
If you select ‘Pass All’ immediately and try to save the selection, a warning message will be displayed. This message reads: “You have not selected Fail for any student. Are you sure you wish to Pass all students?”

Can I always retrieve students in my test batch?
‘Fail’ and ‘Not Recorded’ students can always be retrieved using the batch number, but ‘Pass’ students cannot. ‘Fail’ students will default to the ‘Fail’ radio button when the batch is retrieved.

Can I enter further test results against students in my test batch?
No, as associated business processes will fail.
If your student requires a retest in the future the school should generate a new test batch for you to enter results against. This may be either a DHB Report - Students that have not completed routine tests (for students who were absent, or with a test status of ‘Retest’ or ‘Refer’) or a DHB Ad hoc Hearing and Vision report.

What should I do about students who are not at the base school?
Some schools have students on their roll who do not attend the base school (for instance, students who attend Teen Parent Units, kura teina, or alternative education). Because it is a legal requirement that these students stay on the base school’s roll, they cannot be excluded from the reports the school generates for you.
You should mark these students as Not Tested or leave them as Not Recorded. They will be returned in future DHB report – Students that have not completed routine tests reports. This will be useful for the VHTs who look after the students at these units.
There are plans to include an indicator in ENROL that will clearly identify these students in the future.

What reports can I run myself?
From the Reports tab in ENROL you can run:
- DHB Batch Numbers
- DHB Hearing and Vision Not Tested Statistical Report
DHB Batch Numbers
To run this report, click on the link and then choose the school you wish to run the report for. This report will show you:
- all the batches that have ever been generated at the school
- the date each batch was created
- the test type of the batch.

DHB Hearing and Vision Not Tested Statistical Report
To run this report, click on the report name link, choose the test type and then the school you wish to run the report for. This report will show you:
- the total number of students at the school
- the number who have not received that test type at the school
- the number who received a test status of ‘Refer’ after their last test
- the number who received a test status of ‘Retest’ after their last test.

What is happening with the B4 Schools Health Check programme?
We understand from the Ministry of Health that the B4 School initiative was rolled out from June 2008 in four DHB areas (Waikato, Nelson Marlborough, MidCentral and Lakes) and the remaining DHBs in September 2008. There is no immediate change to current hearing and vision testing processes while Before School checks are rolled out. Ministry of Health is maintaining funding in the short term for DHBs to run both systems in parallel.
